Better Health Care Hub. ("Better Health Care Hub") protects your personal and health information with the same care we bring to patient treatment. This policy covers all data practices across our integrative healthcare platform.
1. Identity & Contact Information
We collect your full name, date of birth, mailing address, email address, phone number, emergency contact information, and government-issued ID where required for insurance verification. This data establishes your patient identity and enables communication with your care team.
2. Complete Health Records
We collect comprehensive health information including medical history, current diagnoses, prescription medications, past surgeries, lab results, imaging reports, allergy profiles, immunization records, family health history, and detailed herbal supplement use including dosage and frequency.
3. Biometric & Clinical Data
We collect vital signs (blood pressure, heart rate, temperature, respiratory rate), laboratory values (blood glucose, cholesterol, hormone levels), genetic testing results when provided, body composition metrics, and other physiological measurements relevant to your integrative care plan.
4. Insurance & Billing Information
We collect insurance policy details (carrier name, policy number, group number), subscriber information, copay and deductible status, billing addresses, payment methods (credit card, HSA, FSA), and claims history to process reimbursements and manage your account.

When you use our patient portal or website, we collect device information (type, operating system, browser), IP address, geolocation data (city/region), time zone, pages viewed, appointment booking patterns, message logs, and response times to improve platform functionality.

We collect responses from wellness assessments including sleep patterns, stress levels, dietary habits, exercise frequency, alcohol and tobacco use, occupational exposures, environmental factors, and quality-of-life metrics that inform your personalized care recommendations.
7. How We Use Your Information — Clinical Care
Your data is used to deliver integrative healthcare services: diagnosing conditions, developing treatment plans, prescribing botanical adjuncts, coordinating specialist referrals, managing prescriptions, monitoring treatment response, and adjusting therapies based on clinical outcomes.

We use your information for appointment scheduling, billing and claims processing, insurance verification, prior authorizations, patient portal management, customer support, quality improvement initiatives, and internal audits to ensure care standards.
9. Communications & Marketing
With your explicit consent, we send appointment reminders, care plan updates, health education newsletters, wellness tips, and information about new integrative services. You may opt out of marketing communications at any time while still receiving essential clinical messages.
10. Research & Anonymous Data
De-identified health data may be used for IRB-approved research on natural therapies, herbal supplement efficacy, lifestyle interventions, and integrative treatment outcomes. You may opt out of research uses without affecting your clinical care. We never sell your data.
11. Information Sharing — Care Team
Your health information is shared with your licensed care team including physicians, nurse practitioners, herbalists, nutritionists, health coaches, and specialists involved in your treatment. All team members are bound by strict confidentiality and HIPAA obligations.
12. Information Sharing — Insurance & Partners
We share necessary data with insurance carriers for claims processing, laboratory partners for test results, pharmacy partners for prescriptions, referral specialists for coordinated care, and HIPAA-compliant technology vendors who support our operations under data protection agreements.
13. Legal & Regulatory Disclosures
We may disclose your information to public health authorities for disease reporting, to law enforcement with valid legal process (subpoena or court order), to government agencies for compliance audits, and as otherwise required by state or federal law including HIPAA.

15. Data Retention Policy
We retain health records for the longer of 7 years from last treatment or as required by state law (up to 10 years in some jurisdictions). Insurance records are retained for 7 years. After retention periods, data is securely anonymized or destroyed using industry-standard methods.
16. Your Privacy Rights (HIPAA & State Laws)
You have the right to: access your health records (copy within 30 days), request amendments to inaccurate information, receive an accounting of disclosures, request restrictions on certain uses, request confidential communications, and obtain an electronic copy of your records in portable format.
17. California & Other State Privacy Rights

We use essential cookies for portal login and appointment booking, functional cookies to remember preferences, and analytics cookies to improve site performance. We do not use third-party advertising cookies. You may disable non-essential cookies in browser settings.
19. Breach Notification
In the event of a data breach affecting your unsecured protected health information, we will notify you by mail or email within 60 days of discovery as required by HIPAA. Notification will include breach description, affected data types, and steps to protect yourself.
