Most conventional services (primary care, dental, some weight loss programs) are covered by major insurers. Botanical adjuncts and wellness programs may have partial coverage depending on your plan. Our insurance team verifies your benefits before your first visit and provides a clear cost breakdown — no surprises.

Safety is our top priority. Our pharmacists cross-reference every botanical recommendation against your current medications for interactions. We use therapeutic-grade, third-party-tested herbs with standardized dosages. We will not recommend any herbal treatment if there's a known interaction risk with your medications.

We don't count calories — we optimize metabolism. Our program includes body composition analysis, gut microbiome testing, food sensitivity screening, and adaptogenic herbs to support thyroid and adrenal function. We collect your full name, date of birth, mailing address, email address, phone number, emergency contact information, and government-issued ID where required for insurance verification. This data establishes your patient identity and enables communication with your care team.

2. Complete Health Records

We collect comprehensive health information including medical history, current diagnoses, prescription medications, past surgeries, lab results, imaging reports, allergy profiles, immunization records, family health history, and detailed herbal supplement use including dosage and frequency.

3. Biometric & Clinical Data

We collect vital signs (blood pressure, heart rate, temperature, respiratory rate), laboratory values (blood glucose, cholesterol, hormone levels), genetic testing results when provided, body composition metrics, and other physiological measurements relevant to your integrative care plan.

4. Insurance & Billing Information

We collect insurance policy details (carrier name, policy number, group number), subscriber information, copay and deductible status, billing addresses, payment methods (credit card, HSA, FSA), and claims history to process reimbursements and manage your account.

5. Digital Interaction & Usage Data

When you use our patient portal or website, we collect device information (type, operating system, browser), IP address, geolocation data (city/region), time zone, pages viewed, appointment booking patterns, message logs, and response times to improve platform functionality.

6. Wellness Survey & Lifestyle Data

We collect responses from wellness assessments including sleep patterns, stress levels, dietary habits, exercise frequency, alcohol and tobacco use, occupational exposures, environmental factors, and quality-of-life metrics that inform your personalized care recommendations.

With your explicit consent, we send appointment reminders, care plan updates, health education newsletters, wellness tips, and information about new integrative services. You may opt out of marketing communications at any time while still receiving essential clinical messages.

10. Research & Anonymous Data

De-identified health data may be used for IRB-approved research on natural therapies, herbal supplement efficacy, lifestyle interventions, and integrative treatment outcomes. You may opt out of research uses without affecting your clinical care. We never sell your data.

11. Information Sharing — Care Team

Your health information is shared with your licensed care team including physicians, nurse practitioners, herbalists, nutritionists, health coaches, and specialists involved in your treatment. All team members are bound by strict confidentiality and HIPAA obligations.

12. Information Sharing — Insurance & Partners

We share necessary data with insurance carriers for claims processing, laboratory partners for test results, pharmacy partners for prescriptions, referral specialists for coordinated care, and HIPAA-compliant technology vendors who support our operations under data protection agreements.

13. Legal & Regulatory Disclosures

We may disclose your information to public health authorities for disease reporting, to law enforcement with valid legal process (subpoena or court order), to government agencies for compliance audits, and as otherwise required by state or federal law including HIPAA.

14. Data Security Measures

We protect your data using AES-256 encryption for stored information, TLS 1.3 for data transmission, multi-factor authentication for system access, SOC 2 Type II certified infrastructure, quarterly independent penetration testing, and comprehensive staff training including herb-drug interaction data security protocols.

15. Data Retention Policy

We retain health records for the longer of 7 years from last treatment or as required by state law (up to 10 years in some jurisdictions). Insurance records are retained for 7 years. After retention periods, data is securely anonymized or destroyed using industry-standard methods.

16. Your Privacy Rights (HIPAA & State Laws)

You have the right to: access your health records (copy within 30 days), request amendments to inaccurate information, receive an accounting of disclosures, request restrictions on certain uses, request confidential communications, and obtain an electronic copy of your records in portable format.

17. California & Other State Privacy Rights

California residents have additional rights under CPRA including limiting use of sensitive health information and opting out of automated decision-making. Nevada and Virginia residents also have specific privacy rights. Contact us for state-specific disclosures.

18. Cookies & Tracking Technologies

We use essential cookies for portal login and appointment booking, functional cookies to remember preferences, and analytics cookies to improve site performance. We do not use third-party advertising cookies. You may disable non-essential cookies in browser settings.

19. Breach Notification

In the event of a data breach affecting your unsecured protected health information, we will notify you by mail or email within 60 days of discovery as required by HIPAA. Notification will include breach description, affected data types, and steps to protect yourself.

Terms & Conditions

Effective: January 15, 2026

These Terms govern your use of Better Health Care Hub integrative healthcare services, patient portal, and related offerings. By using our services, you agree to be bound by these Terms.

1. Scope of Services

Better Health Care Hub provides integrative healthcare coordination, specialist referrals, botanical adjunct therapies, wellness programs, health education, insurance navigation, and patient portal access. Clinical services are delivered by licensed independent practitioners who follow their own professional standards.

2. Important Disclosure — Complementary Nature

Botanical and natural therapies are offered as complementary adjuncts to — not replacements for — conventional medical treatment. We will always advise you to continue essential prescribed medications and consult with your primary physician about any changes to your treatment plan.

3. No Emergency Services

Better Health Care Hub does not provide emergency medical care. If you are experiencing a medical emergency, call 911 immediately or go to the nearest emergency room. Our patient portal and messaging systems are not monitored 24/7 for urgent needs.

4. Patient Eligibility

You must be at least 18 years old to establish care independently. Minors require consent from a parent or legal guardian. We reserve the right to verify age and identity. We do not provide services to individuals outside our licensed operating states.

5. Informed Consent for Integrative Care

By accepting these Terms, you acknowledge that you have been informed about the potential benefits, risks, and alternatives to botanical and natural therapies. You agree to disclose all medications and supplements to avoid herb-drug interactions. You may withdraw consent at any time.

6. Financial Terms — Payment

Payment is due at time of service unless insurance verification is completed in advance. We accept credit cards, debit cards, HSA, FSA, and third-party financing options. For approved insurance plans, we will bill your carrier directly. You remain responsible for any uncovered amounts.

7. Cancellation & No-Show Policy

We require 24 hours' notice for appointment cancellations or rescheduling. Late cancellations (less than 24 hours) incur a $50 fee. No-shows without any notice incur the full appointment fee. Exceptions made for genuine emergencies at our discretion.

8. Late Payments & Collections

Balances unpaid after 60 days may accrue interest at 1.5% monthly (18% APR). Accounts over 90 days past due may be referred to a collections agency. You are responsible for any collection costs or legal fees incurred to recover unpaid balances.

9. Insurance Advisory Services Disclaimer

Our insurance navigation services are free, educational, and commission-free. We are not licensed insurance agents or brokers. All coverage decisions, plan selections, and enrollment actions are solely your responsibility. We do not guarantee coverage or reimbursement outcomes.

10. Practitioner Independence

Licensed practitioners (physicians, nurse practitioners, herbalists) are independent contractors, not employees of Better Health Care Hub. Each practitioner is responsible for their own clinical judgments and treatment decisions. Better Health Care Hub facilitates coordination but does not direct clinical care.

11. Patient Portal & Electronic Communications

Our patient portal provides secure messaging, appointment scheduling, record access, and telehealth visits. You are responsible for maintaining account confidentiality. Messages are not for emergencies. We may communicate with you via email, SMS, or portal notifications as permitted by your consent.

12. Prescriptions & Supplement Recommendations

Prescriptions for botanical or conventional medications are issued at practitioner discretion. Supplement recommendations are educational. You are responsible for disclosing all current medications. We are not liable for adverse reactions from undisclosed concurrent treatments.

13. Limitation of Liability

To the maximum extent permitted by law, Better Health Care Hub's total liability for any claim arising from these Terms or your use of our services is limited to the fees you paid in the 12 months preceding the claim. We are not liable for indirect, incidental, special, consequential, or punitive damages including loss of health improvement expectations.

14. No Guarantee of Results

Better Health Care Hub does not guarantee specific health outcomes. Individual responses to botanical and natural therapies vary based on genetics, adherence, concurrent conditions, and other factors. Testimonials on our website reflect individual experiences and are not guarantees of your results.

15. Disclaimer of Warranties

Services are provided "as is" and "as available" without warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the platform will be uninterrupted, error-free, or secure. Some jurisdictions do not allow warranty disclaimers.

16. Indemnification

You agree to indemnify and hold Better Health Care Hub harmless from any claims, damages, or expenses arising from your violation of these Terms, your failure to disclose medications or health conditions, your misuse of botanical therapies, or your infringement of any third-party rights.

17. Dispute Resolution Process

Any dispute arising from these Terms shall first be attempted to resolve informally for 30 days via written notice. If unresolved, disputes shall be submitted to mediation in USA. If mediation fails, disputes shall be resolved through binding arbitration under AAA rules, except where prohibited by law.

18. Governing Law & Venue

These Terms are governed by the laws of USA, without regard to conflict of laws principles. Any arbitration or permitted court proceedings shall be held in USA. You consent to personal jurisdiction there.

19. Termination of Services

We may terminate your patient relationship for violation of these Terms, non-payment, abusive behavior toward staff, fraud, or as required by law. You may terminate at any time by providing written notice. Upon termination, you remain liable for outstanding fees and may request record transfer.

20. Modifications & Contact

We may update these Terms periodically. Material changes will be emailed to active patients 30 days before effective date. Your continued use after changes constitutes acceptance.
